Payroll prep is one of the most tedious recurring tasks in franchise operations. Every cycle, operators pull hours from their POS, copy them into spreadsheets, reconcile tips, calculate overtime, and double-check everything before uploading to their payroll provider. For a multi-store operator, that process takes 60 to 75 minutes — and errors still slip through.
Today we’re launching Visio Payroll Prep, a tool that connects directly to your POS, pulls the data automatically, surfaces errors your spreadsheet would miss, and exports a ready-to-upload file for Paychex.
The spreadsheet problem
David Tennyson runs 3 Subway locations in the US. Like most franchise operators, he was running payroll through a spreadsheet — pulling data from LiveIQ, consolidating across stores, and manually checking the numbers before exporting. It worked, until it didn’t.
I like it. It's already just eliminated my spreadsheet.
After switching to Visio Payroll Prep, David discovered the tool was catching missed clock-outs automatically — errors that had been slipping through his manual process for months. One recurring issue was a $40-per-cycle overpayment from doubled credit card tips, a formula error his spreadsheet had been silently making. Over the course of a year, operators like David have identified more than $480 in errors caught and prevented.
How it works
The process has three steps: connect your POS, review flagged exceptions, and export to payroll.
1. Connect your POS
Visio pulls employee hours and credit card tips from LiveIQ automatically. There’s no copy-pasting across monitors, no spreadsheet formulas. You set the week-ending date and payment frequency (weekly or biweekly), and the data is already loaded when you open the tool.
2. Review flagged exceptions
Missed clock-outs, overtime anomalies, and adjustments are surfaced automatically. Click any employee for a day-by-day breakdown — in a list or calendar view — to verify the details. Instead of hunting through raw POS data, you see exactly which days have gaps and can resolve them before exporting.
3. Export to Paychex
One click generates a Paychex-ready CSV. Enter cash tips, confirm totals, done. No reformatting, no intermediate spreadsheets. Upload the file to your Paychex portal and you’re finished.
What this means for operators
60 minutes back every pay cycle. Payroll prep drops from 60–75 minutes to 5–10 minutes per cycle. For a 3-store operator running biweekly payroll, that’s 26 hours recovered per year — time that goes back into operations instead of spreadsheets.
Errors get caught before they cost money. David’s doubled credit card tips went unnoticed for months. Visio surfaces discrepancies like missed clock-outs, overtime miscalculations, and tip mismatches automatically — before they reach your payroll provider.
No more manual data entry. Hours and tips flow directly from your POS into Visio. No more pulling data from LiveIQ across three monitors, no more consolidating across stores in Excel. The data is there when you open the tool.
An instant audit trail. Click any employee to see their day-by-day hours. When something doesn’t look right, you can verify it in seconds — not by digging through old files.
Frequently asked questions
How does Visio pull data from my POS?
Visio integrates with LiveIQ via API. Once connected, each pay period’s hours and credit card tips sync automatically — no manual export or file upload required. The connection is set up once during onboarding.
What if my spreadsheet already works fine?
Most operators think theirs does too — until Visio flags something. Common issues include doubled credit card tips from copy-paste errors, missed clock-outs counted as full shifts, and overtime miscalculations from manual rounding. The spreadsheet can’t audit itself.
Does it handle employees who forget to clock out?
Yes. Missed clock-outs are flagged with an adjustments indicator on the main table. Click into the employee to see which specific days have gaps, then enter the corrected hours before exporting. The original POS data and your adjustment are both preserved.
What about cash tips?
Credit card tips are pulled automatically from your POS. Cash tips are entered per employee in an editable field within Visio — both are included in the final Paychex export.
Does it export directly to Paychex?
Yes. Visio generates a CSV formatted to Paychex’s import spec. Upload it directly to your Paychex portal — no reformatting or intermediate steps. If your payroll provider isn’t Paychex, reach out and we can discuss your setup.
